This policy explains how we collect, use, store and protect your personal information when you use our website or request a quote, in line with the EU General Data Protection Regulation (GDPR) and, for UK residents, the UK GDPR.

1. Who we are

DentalVoyage is a trading name of EVERYTHING PAL SRL, a company registered in Romania and the data controller responsible for your personal data. We are a dental tourism agency that connects UK patients with independent, EU-regulated dental clinics in Romania.

2. The information we collect

When you submit the quote form or contact us, we may collect:

  • Contact details — your name, email address, phone / WhatsApp number and the city you live in.
  • Enquiry details— the treatment you’re interested in, your approximate budget and timeframe.
  • Health information— any details about your dental situation, history or photos you choose to share with us so we can prepare a treatment plan. This is “special category” data under UK GDPR (see section 4).
  • Technical data — collected automatically, such as approximate location, device and browser type, and how you use the site. Our analytics are privacy-friendly and do not identify you personally (see section 9).

3. How we use your information

  • To respond to your enquiry with a treatment plan and quote.
  • To arrange and coordinate your treatment with a partner clinic if you decide to proceed (appointments, travel logistics, aftercare).
  • To contact you about your enquiry by email, phone or WhatsApp.
  • To operate, secure and improve our website.
  • To comply with our legal obligations.

4. Our legal basis for processing

Under UK GDPR, we rely on the following legal bases:

  • Consent — for contacting you about your enquiry and for processing any health information you share. You give this consent by ticking the box on the quote form, and you can withdraw it at any time (see section 7).
  • Steps prior to a contract — to assess your case and provide a quote at your request.
  • Legitimate interests — to run and secure our website, provided your rights do not override these interests.

Because dental enquiries can include information about your health, which is special category data, we process it only on the basis of your explicit consent under Article 9(2)(a) of the UK GDPR. Please share only the health details necessary for your enquiry.

5. Who we share your information with

We share your data only where necessary, with:

  • Our partner dental clinic in Romania — we share your enquiry data, including any health information you provide, with the clinic so they can review your case, prepare a treatment plan and deliver your care. Romania is part of the EU/EEA. This sharing is essential to providing the service you request.
  • Service providers (processors) who help us operate, including our email provider (Resend), our hosting and analytics provider (Vercel), and messaging platforms you choose to use with us (e.g. WhatsApp).
  • Authorities or advisers where required by law.

We never sell your personal data.

6. International transfers

Our partner clinics are in Romania, part of the EU/EEA, which the UK recognises as providing an adequate level of data protection. Some service providers (such as messaging platforms) may process data outside the UK/EEA; where they do, we rely on appropriate safeguards such as the UK’s International Data Transfer Agreement or Standard Contractual Clauses.

7. Your rights

Under UK GDPR you have the right to:

  • access a copy of the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
  • ask us to delete your data (“right to be forgotten”);
  • restrict or object to how we process your data;
  • request portability of your data;
  • withdraw consent at any time, without affecting processing carried out before withdrawal.

As our company is established in Romania, the lead supervisory authority is the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP) at dataprotection.ro. If you are in the UK, you may also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

8. How long we keep your data

We keep enquiry data only as long as needed for the purposes above — typically up to 24 months after your last contact with us, unless you become a client (in which case we keep records as required for the treatment and our legal obligations) or you ask us to delete it sooner.

9. Cookies and analytics

We do not use advertising or tracking cookies. We use privacy-friendly, cookieless analytics (Vercel Analytics and Speed Insights) to understand aggregate, anonymous usage and site performance. Because we set no non-essential cookies, no cookie consent banner is required under PECR.

10. Data security

We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS) and reputable, secured service providers. No method of transmission over the internet is completely secure, but we take reasonable steps to safeguard your information.

11. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when it was last revised.
